
This is one of those questions that sounds simple and gets complicated fast. How many cocktail tables do I need for 50 guests? What about 100? What if the venue is smaller than expected?
There is no single right answer, but there is a sensible approach. Here it is.
One cocktail table per eight to ten guests.
That gives you:
This is a starting point, not a ceiling. The right number for your event depends on a few other factors.
Venue size and layout: A long narrow space needs tables distributed differently than a large open square. If you have a small venue, fewer tables with more stools per table is often better than cramming in more tables.
Event type: Cocktail parties and networking events work at a ratio of one table per ten. Seated lunches in cocktail-furniture style (where guests eat at the tables) need more tables and more stools per table.
Guest demographics: More older guests, pregnant guests, or guests with young children means more seating. Push your ratio towards one table per eight rather than one per ten, and add more stools.
Duration: An event that runs less than two hours can work with fewer tables and fewer stools. For four-hour-plus events, people want somewhere to rest.
Whether food is served at the tables: If you are using cocktail tables as grazing stations as well as social gathering spots, some tables will be semi-dedicated to food. Account for that in your count.
Two stools per table is functional. Three is comfortable. Four is generous.
As a guide:
Aim for seating for about 30 to 40% of your guest count for a mingling event, or 50 to 60% for a more seated format.

Can I hire fewer tables than the guideline suggests?
Yes. The guideline is a starting point. Some events work perfectly well with slightly fewer tables if the space is smaller or the crowd is more compact.
